Minutes of Annual General Meeting 2024/25

Welcome

Welcome and thanks for attendance, members. The proposed agenda of the AGM was approved with no objections from the members. The board was introduced: James Robertson (Chairperson), Neil Galbally (Treasurer), and Rory Jenner (Secretary). A quorum was declared present, and the meeting was declared open.

Financial Update

A financial update was given by the Treasurer with accounts shared with members. A starting balance in August 2013 of 1813.83 with very little activity on the account in the first 10 months apart from costs for website and merchandise. A full copy of the accounts will be made available at the request of any member.

The bulk of activity has occurred in the last two months due to the Hearts friendly and Gary Mabbutt Legends night. The Gary Mabbutt night was a charged event but no intention to make a profit. The total raised through ticket sales and raffle held totalled £440. All proceeds from the night and raffle held will be donated to Diabetes UK.

As board it was announced that this total would be rounded up to £1000 using club funds and donated to the charity. This was proposed to members with no objections.

Closing balance 31st July 2024 £3099.85.

Election of Board Members

Election/relection of board members (Chairperson, Treasurer, and Secretary) and other committee roles to manage social media and merchandise. All members are encouraged to put themselves forward for any of the available roles.

The Chairperson gave a summary of roles and responsibilities for the positions.

James Robertson put themself forward to stand again for Chairperson. This was proposed and supported by the members. No other member elected to stand for this role.

Neil Galbally put themself forward to stand again for Treasurer. This was proposed and supported by the members. No other member elected to stand for this role.

Rory Jenner put themself forward to stand again for Secretary. This was proposed and supported by members. No other member elected to stand for this role.

Membership Prices and Rules

Membership prices frozen and no changes to membership rules.

Matchday Ticket Applications

Match ticket applications are made via the supporters club website. No changes are proposed.

Window two of match allocations was missed due to changes by the football club. The football club sends a list of windows rather than James receiving a notification a week before the window is open. Application dates have been published for the remaining windows and will be shared with members.

No objections by members to continue the process in place to apply for match tickets via the supporters club.

Members were reminded that in order to secure tickets via the supporters club, they must be paid up members and hold a One Hotspur membership.

Pub Meeting Space

The frustrations of securing space in the Rhoderick Dhu for televised fixtures was shared with members: unresponsive to emails, promised the function room but then being put upstairs and occasions of having no booked space at all despite making a booking.

It was suggested to members that Malones be considered as a future venue for televised fixtures. The pub was used for the North London Derby last season, and it received positive feedback. The Edinburgh venue helped to arrange the Gary Mabbutt night and welcomed supporters before the Hearts friendly. Malones Glasgow has been accommodating to all the needs of the supporters club, including agreeing to the screening of televised fixtures for the upcoming season.

It was proposed that the Malones is trialled for the next three months. Concern was raised around Celtic games. It was highlighted to members that the pub is actively willing to work with the supporters club for all televised games despite clashes with Celtic games.

It has been confirmed to members that children are also welcome to attend Malones and wear Tottenham football shirts.

It was resolved that Malones is to be trialled for the next three months and will be addressed again after that period.

Social Media

Reconfirmation of the social media channels run by the supporters club including the public and private Facebook group, which has 426 members.

The board continues to have difficulties managing all social media channels. Not everyone uses the same channels, so communication has to be posted across all channels separately. Moderation is another issue with social media channels. There have been occasions where Facebook chats have gotten out of hand, and complaints have been made to the board about individual users as well as complaints made directly to Facebook. The last issue concerns fake accounts and unauthorised sellers.

It was highlighted that to move forward with Facebook as a channel, support with moderation is required. It was proposed that a tidy-up of members in the Facebook group be undertaken, everyone to recommit to the group rules, and fake profiles removed.

The floor was opened for other suggestions for managing the social media channels without restricting users'/members' interactions. It was acknowledged that the first step would be to tidy up members.

Members agreed and supported the board's creation of rules for members of the private group to complete a tidy-up of the group.

In order to undertake the agreed action, it was requested that members put themselves forward to support moderation and communication with members across all the social channels. Alan Leslie and Fraser Grant volunteered to help with this.

It was highlighted that support is required with acquiring, selling, and distributing merchandise. This was previously all completed on one platform called Printful; however, rules surrounding the copyright of logos have made this difficult.

Merchandise

The supporters club requires assistance in finding a new source for obtaining merchandise that can be sold to members. John Brennan put themself forward to support with merchandise activity.

Members were asked to suggest merchandise they would like to see available from the supporters club. T-shirts, hoodies, and mugs were all suggested.

Members were asked to put forward any other business they would like to raise, including things they would like to see done differently or things that could be improved.

No other items of business were put forward by members.

James highlighted that Ticketailor was used to organise the AGM to obtain an idea of attendees. It was suggested that this be used on a trial basis to organise future events. There were no objections.

Barry Graham wanted to add thanks to the board for the efforts put in running the supporters club.

The meeting was declared closed by the Secretary at 20:00
